Booking and check-in rules
1. Introduction and scope of application
Establishing clear rules of interaction is the foundation of trust between guests and the accommodation management. These rules define the procedure for booking, payment and accommodation. By using the chernomor.org website, viewing information or making a booking, the user automatically confirms that they have read, understood and fully accepted these terms and conditions, including the cancellation policy and rules applicable in the event of no-show.
DISCLAIMER: Most of the information about accommodation facilities (recreation centres, hotels, private sector) presented on the website is provided directly by their management. The administration of chernomor.org is not responsible for the accuracy and relevance of this information. The accuracy of the data is guaranteed by the website administration only in cases where:
- the online booking function is activated for the accommodation facility.
- interaction is carried out through the service's own dispatch service.
The following section details the technical algorithm of customer interaction with the booking system.
2. Algorithm and mandatory booking details
For correct identification of the order and to ensure high quality service, the guest must provide a comprehensive list of details. This information allows the accommodation facility to prepare a room in accordance with the customer's needs and legal requirements.
The following details must be provided to complete the application:
• Guest's surname and first name;
• Exact dates of arrival and departure;
• Number of rooms required;
• Number of adults and children (indicating the ages of the children);
• Contact details (telephone number, email address).
The accommodation provider is obliged to respond regarding the possibility of booking (confirmation or refusal) within 24 hours of receiving the application. If the above information is not provided, the accommodation provider reserves the right to refuse to confirm the order.
After receiving the request, the key step is to confirm the financial obligations.
3. Guaranteed vs Non-guaranteed booking
The legal status of the booking determines the level of obligation of the parties and the guarantee of room availability for the guest.
• Guaranteed reservation: the status that the order acquires after the guest makes a deposit (prepayment) in accordance with the invoice. Such a reservation is held for the guest until 12:00 noon on the day following the scheduled arrival date.
• Non-guaranteed reservation: all other cases of ordering services without making an advance payment. In this case, the accommodation facility is not obliged to hold the room for a long period of time.
Clear financial rules require similar transparency in matters of cancellation.
4. Cancellation policy and penalties
Transparency in financial relations in the event of trip cancellation is a critical factor in building trust. Cancellation of a confirmed booking (reduction in the number of guests or complete or partial refusal of services) must be made by the guest exclusively in writing via email.
Prepayment refund conditions:
Cancellation period (before the date of arrival)
Refund conditions
More than 10 days
90% of the prepayment amount is refunded
5 to 10 days
50% of the prepayment amount is refunded
Less than 5 days or no-show
Penalty of 100% of the prepayment (no refund)
Note: the status "no-show" is recorded if the guest does not arrive by 12:00 noon on the day following the scheduled arrival date.
In addition to the booking procedure, there are strict rules for staying at the property.
5. Check-in, payment and check-out regulations
Compliance with operational standards ensures the smooth operation of the accommodation facility and the comfort of all customers.
• Check-in time: check-in is from 14:00, check-out is until 12:00 local time.
• Late check-out: any departure of a guest from the property after 12:00 is officially classified as a late check-out.
• Financial obligations: upon check-in, guests are required to pay 100% of the cost of accommodation for the entire booked period. In case of early departure, funds for unused days are not refundable.
• Payment methods: payments can be made by bank transfer, cash or Visa and MasterCard payment cards.
• Deposit system: upon check-in, guests leave a cash deposit (security deposit) to ensure the integrity of the property and the safety of the room. The deposit is returned on the day of departure after the room has been handed over to the administration.
• Extension of stay: if it is necessary to extend the stay, the guest must notify the administration of their desire no later than 24 hours before the end of the current stay.
• Documents: for check-in, you must provide a document proving your identity (and confirming the age of children), as well as a booking confirmation.
These rules complete the regulation of service interaction, which logically leads to the question of protecting the data received.
